Virtual Executive Assistant/PA, WFH so must have strong IT connection. Full or part time, minimum 25 hours a week to offer exceptional PA service to Corporate Companies and HNW individuals. Salary up to £47,000 dependent on experience and contracted hours. Full IT and infrastructure provided by the company

As Virtual Executive Assistant/PA you will be responsible for providing a unique and bespoke service for individuals who do not necessarily need a full time Assistant .

Given the nature of the role it is essential that the successful candidate adopt a flexible approach to working including the monitoring of their allocated client inboxes and responding in timely manner including out of hours in case of any urgent support requirements

Responsibilities for the position of Virtual Executive Assistant PA

  • Organising and maintaining client diaries, coordinating appointments, booking restaurants, conference calls etc. Keeping diary entries up to date with full and accurate information including notes relating to each meeting/call
  • Reconfirming meetings with other parties
  • Arranging and reconfirming complex client travel, visas and accommodation
  • Setting up Zoom and Teams meetings
  • Contacts database management
  • Email/inbox management/filing
  • Assisting with expense claims and board/consultancy fee invoicing
  • Updating biographies
  • Liaising with organisers at conferences and events for speaking engagements
  • Other professional and personal tasks as and when requested by clients

Person Specification for the position of Virtual Executive Assistant/PA

  • The ideal candidate will be a flexible, self-motivated, highly organised, multi tasker with the ability to work effectively under pressure
  • Excellent communication skills both written and spoken are a must along with exceptional attention to detail, a mature attitude and a proactive and positive approach to working
  • A strong commitment and mindset to delivering excellent customer service is essential, as adapting your day and priorities around the needs of your allocated clients and also your fellow team members is your primary aim
  • Also needed are strong technical skills and you will need to demonstrate your ability to work in a collegiate fashion/part of a team as well as on your own, making swift, sensible decisions to support your clients at all times.
  • Previous experience working as a high level Personal / Executive Assistant is essential along with strong knowledge of Outlook and Gmail accounts and Office 365
