Our client is looking for a candidate to cover a busy reception desk from Friday 2nd August until Friday 9th August 2019.  The ideal candidate will be well presented with a good telephone manner and previous experience within a similar position.


Duties will include:


Answering all calls to the switchboard

Support requests from Directors

Dealing with all visitors/customers/suppliers face to face and ensuring all visitors are signed in when in the building

Booking all internal meeting rooms, and ensuring the diaries and maintained and kept up to date

Booking hotel rooms for external sales reps and any visitors

Arranging all aspects of customer visits – room, requirements, agenda’s, refreshments, taxi’s etc.

Arranging all refreshments and lunches for internal meetings – liaising with the canteen each week to ensure all requests are in the diary

Ordering Business cards

Ordering any supplies for the franking machine

Booking any short term hire cars and ensuring licence checks are up to date

Distribution of all incoming post and deliveries

Franking all outgoing mail – liaising with Royal mail re any closures/franking machine updates

Folding outgoing mail – invoices/statements

Distribution of faxes

Distribution of all emails to relevant teams

Ensuring reception is neat and tidy and set up each morning

Visitor and External sales staff roll call in the event of a fire

General Admin – updating the switchboard/updating the telephone list/maintaining the switchboard rota.

Any ad-hoc duties passed on from various managers on an as and when basis


Working hours

Monday – Thursday, 8:30-17:00

Friday, 8:30 – 16:30
