Job Description

The key to this role is to offer exceptional levels of customer service to both the client , internal stakeholders and suppliers

The role is to be responsible for the days to day tasks within the Parts Administration Team to ensure parts and consumable items are delivered within the agreed service levels, minimise any problems or delays incurred through the ordering process and the handling of both customer and internal escalations

Key Responsibilities:

Standard Supply Chain Ordering

  • Ordering parts from 3rd party warehouse and direct from suppliers
  • Creating orders forthese orders on their IT System
  • Resolve delivery issues where appropriate in relation to parts and consumable orders

Special Orders

  • Managing the special order reports and source alternative items where appropriate
  • Escalating to Regional Technical Managers to request authorization for parts order
  • Managing the delivery reports
  • Chasing outstanding orders daily and escalating where appropriate

Issue Resolution

  • Monitor daily & escalate any stock issues to Supply Chain Manager to source sooner.
  • Source out of stock items where appropriate
  • Manage the back order report and source alternative items where appropriate
  • Take full responsibility for an issues through to resolution

  • Strong customer focus with the desire to provide an exceptional experience
  • Excellent attitude and communication skills, at both a customer and colleague level
  • Good knowledge and understanding in the use of IT software
  • Good problem solving skills
  • Good time management skills with the capability to work independently.
  • Ability and willingness to learn, with a desire to work and develop in an internal/external customer facing support role, within a fast paced dynamic team
  • Good written documentation skills
  • Experience of issue ownership coupled with strong stakeholder communication
