Job Description

Our client is looking for a Procurement and Commercial Contracts Administrator to join their Commercial team. The role is to oversee and administrator their legal contracts relating to the properties they are renting, checking terms etc together with procurement support, looking at existing supplier contracts, purchasing consumables and ensuring best value for money

Key Skills for the role of Procurement and Commercial Contracts Administrator:

  • Exceptional attention to detail as look at draft legal documents, leases, Heads of Terms so must be able to look at complex information and understand it
  • Very strong organisational skills
  • Worked in a multi task environment
  • Strong time management skills
  • Advanced IT Skills, create an Excel spreadsheet, customise a pivot table
  • Excellent communication skills to talk to those at Board level and peer group
  • 12-18 Months experience in a property/coordination/purchasing support/contracts role where multi tasking is an essential part of the position
  • Good standard of education

The role is varied and interesting with good progression into other areas

Role and Responsibility for the role of Procurement and Commercial Contracts Administrator:

  • Supporting the commercial team with new store openings, handling the legal administration etc behind it, looking at the draft leases, making notes on Heads of Terms, mark all the relevant information and passing over to the Manager to be signed off
  • Sending out lease agreements once signed
  • Liaising with utility companies to get the meters read, set up the new contracts
  • Organise for all consumables such as tills, the safe etc for each store
  • Organise utilities for Head Office, Warehouse, as well as stores
  • Purchase invoicing processing for rent, rates, utilities , check that they are accurate and pass for payment
  • Administration of purchasing of all consumables such as IT equipment and Pool and Hire Cars etc
  • With experience, supporting projects such as looking at existing old contracts with suppliers, researching and sending out tenders to new potential suppliers
  • Group Trademark administration, getting weekly updates on trademarks, companies who have similar ones, liaising with Commercial Manager to decide whether or not it is worth contesting, Trademark and logo changes
  • General administration such as taking minutes in meetings, typing up and sending to colleagues, ensuring that all tasks are completed prior to meetings etc
  • Act as point of contact for others within the company, gathering relevant information for new stores, deadlines etc
