Job Description
Our client is seeking a PA to their Head of HR initially on a 3 month contract.
The successful candidate will have strong Excel, Word and Power Point skills and be immediately available
Purpose of the Position
To provide efficient administrative support and assistance, to the UK, Head of HR
To organise the activities, diary and travel arrangements to ensure optimal use of the Managers time.
Key Responsibilities
Administration tasks
Responsible for all correspondence (emails, phone calls, letters etc.) prioritising, redirecting and dealing with any aspects that do not require attention by the Head of HR.
Effective and proactive diary management – using Microsoft outlook, organise, schedule and maintain diary appointments, using initiative to reschedule meetings as and when required.
Organise meetings, ensuring Head of HR has relevant information required prior to attending meetings, i.e. minutes and action checklists
Effective minute taking during meetings, using relevant Microsoft office tool to type up and distribute accurate minutes.
Responsible for organising events such as monthly meetings, training events, appraisals including booking venue, organising facilities and equipment. Acting as the point of contact during planning and delivery of the training events.
Preparation of documents and presentations
Provide administrative support within a HR function
Secretarial
Act as first point of contact, providing an effective interface between the Head of HR and their internal and external contacts, dealing with enquiries when Head of HR is not available.
Making all travel and accommodation arrangements when required, for both Head of HR and training events.
Maintenance of database for expenses.
Other Duties
Ad hoc duties as required, delivered to a high standard.
Education / Experience
A good general education is required with a GCSE English and Maths language at Grade C or above or equivalent standard.
Minimum of RSA stage II / NVQ level 2 word processing or equivalent standard
