Our client is looking for an Air Export Clerk tocoordinate and manage all Air Shipments in a compliant, efficient and effective manner, ensuring appropriate communication internally and externally and to ensure highest levels of customer service.

Key Duties and Responsibilities for the position of Air Export Clerk:

  • Quotations.
  • Quote DG goods, if trained, ensuring the documents match the AWB when paperwork is received from the shipper.
  • Email coordination with agent and shippers for collection and delivery of freight.
  • Completion of customs declarations.
  • Track shipments.
  • Status updates to agents and Customers (flight schedules, delivery schedules).
  • Authenticating supplier invoices.
  • Invoicing.
  • Adding accurate costs to the system to ensure financial reports correct.
  • Recording correspondence in edocs.
  • Dealing with queries, both shipment and invoice.
  • Promotion of additional services to clients.
  • Produce rates, using web cargo. Cross checking with Airline if any Promo rate is still valid.
  • Checking flight availability, frequency, routing and transit times.
  • Produce document pouch AWB and print documents and labels.
  • Send docs and labels to Air Freight Distribution company for them to label correct freight and take it into the airlines.
  • Request 3rd Party to conduct screening.
  • Organising credit card payments and collection of D&V and COD payments liaising with accounts.
  • Production of Certificates of Origin in conjunction with Chamber of Commerce,
  • Ensuring all internal SOP’s are followed correctly.
  • Meeting airline sales reps.
  • Email coordination with agents and consignees for delivery of freight.
  • Completion of customs declarations.
  • Awareness of Deferment and FAS accounting procedures.
  • Tracking of flights.
  • Coordinating with haulier to collect from the airline, checking for discrepancies and organising deliver to the consignee.
  • Status updated to agents and consignees (flight schedules, delivery schedules)
  • Obtaining POD’s from suppliers.
  • Obtaining and storing preference documents.
  • Ensuring any tasks within Workflow are actioned quickly.

Person Specification for the position of Air Export Clerk:

  • Computer literate. Microsoft Office – Outlook, Excel, Word.
  • Customs clearance experience.
  • Relevant industry experience.
  • Open minded and willing to learn.
  • Committed and able to deal with challenging scenarios.
  • Proactive in actions and communications.
  • Empathic to customer and internally looking to provide the best solution.
  • Able to respond to immediate customer requests.
  • Able to organise their workload and workspace.
